Terms & Conditions

By booking, purchasing from, or engaging Kiki Coffee for any service, you agree to these Terms & Conditions.
1. Our Services
Kiki Coffee provides mobile coffee services, event catering, barista training, coffee-related products and other associated services.
The exact services, inclusions, pricing, location, dates and times for your booking will be outlined in your quote, invoice or booking confirmation.
2. Bookings
A booking is not confirmed until Kiki Coffee has accepted the booking and any required deposit or payment has been received.
Dates are offered subject to availability and may remain available to other customers until the booking has been confirmed.
Any changes to the date, time, location, guest numbers or service requirements must be discussed with Kiki Coffee as early as possible. Changes may affect pricing and are subject to availability.
3. Pricing & Payment
All prices will be clearly stated in your quote or invoice.
Where a deposit is required, the amount and due date will be shown on your invoice or booking confirmation.
Final payment must be made by the due date shown on the invoice unless otherwise agreed in writing.
Additional services, extra operating time or requirements requested on the day may incur additional charges.
4. Cancellations & Rescheduling
We understand that plans change.
If you need to cancel or reschedule a booking, please contact us as soon as possible.
Cancellation or rescheduling fees may apply depending on how much notice is provided and any costs Kiki Coffee has already incurred in preparing for your booking.
Where possible, we will work with you to move your booking to another available date.
If Kiki Coffee is unable to provide a confirmed service due to circumstances within our control, we will work with you to reschedule the booking or provide an appropriate refund.
Nothing in this section limits any rights you may have under the Australian Consumer Law.
5. Event Access & Site Requirements
The customer is responsible for ensuring we have safe and reasonable access to the event location.
For mobile coffee van or caravan bookings, this includes providing sufficient access, parking and operating space for the vehicle.
Where electricity, water or other facilities are required from the venue, these requirements will be discussed before the event.
If we arrive and cannot safely access or operate from the agreed location, we will work with the organiser to find a reasonable alternative where possible.
6. Weather & Safety
Coffee is important. Safety is more important.
Kiki Coffee may temporarily suspend, alter or relocate operations where weather, site conditions or another situation makes it unsafe for our staff, customers or equipment to continue operating.
We will always make reasonable efforts to continue providing the service safely.
7. Event Numbers & Service Volumes
Estimated guest numbers help us prepare appropriately.
Where attendance or demand is significantly greater than originally advised, we cannot guarantee that additional guests can be accommodated within the original service time, stock allocation or quoted price.
We will always do our best to keep the coffee flowing.
8. Allergies & Dietary Requirements
Please advise Kiki Coffee of any known dietary requirements or allergies relevant to your booking.
We take reasonable care when preparing beverages and food products. However, products may be prepared using shared equipment and environments where allergens are present.
For this reason, we cannot guarantee that any product will be completely free from traces of allergens.
9. Barista Training
Training sessions are provided for educational and professional development purposes.
Participants are expected to follow reasonable safety instructions when using coffee machines, grinders and other equipment.
Training outcomes will vary depending on the participant's experience, practice and individual ability.
Bookings for private or onsite training may be subject to cancellation or rescheduling conditions outlined in the relevant quote or booking confirmation.
10. Equipment & Property
Any equipment supplied or used by Kiki Coffee remains the property of Kiki Coffee unless otherwise agreed.
Customers are responsible for damage caused intentionally or negligently by the customer, their guests or persons under their control.
Normal wear and tear is excluded.
11. Circumstances Beyond Our Control
Sometimes things happen that nobody can reasonably control.
Kiki Coffee will not be responsible for delays or inability to perform a service caused by events outside our reasonable control, including severe weather, road closures, emergencies, venue restrictions, utility failures or other unforeseen circumstances.
Where this occurs, we will make reasonable efforts to find a practical solution, including rescheduling where appropriate.
12. Australian Consumer Law
Our goods and services come with rights and guarantees that cannot be excluded under the Australian Consumer Law.
Nothing in these Terms & Conditions is intended to exclude, restrict or modify any consumer right or guarantee that cannot legally be excluded.
13. Liability
To the extent permitted by law, Kiki Coffee is not responsible for indirect or consequential loss arising from circumstances outside our reasonable control.
Nothing in these Terms limits liability where it would be unlawful for us to do so.
14. Photos & Marketing
We may photograph or film our coffee vans, equipment and event setup for promotional purposes.
We will respect reasonable requests from organisers regarding photography, confidential events or identifiable guests.
15. Intellectual Property
The Kiki Coffee name, logo, branding, designs, training materials, photographs and other original content remain the intellectual property of Kiki Coffee or their respective owners.
They may not be reproduced or used commercially without permission.
16. Privacy
Any personal information provided to Kiki Coffee will be handled responsibly and used for purposes connected with your enquiry, booking, payment or provision of our services.
We will not sell your personal information to third parties.
17. Resolving Problems
If something isn't right, please tell us.
We believe most issues can be resolved quickly through a genuine conversation. We will make reasonable efforts to investigate concerns and find a fair solution.
18. Governing Law
These Terms & Conditions are governed by the laws of Victoria, Australia.
19. Acceptance
By paying a deposit, paying an invoice, confirming a booking or instructing Kiki Coffee to proceed with a service, you acknowledge that you have read and accepted these Terms & Conditions.
